🧭 Start Here — First-Time Users (0 experience)

What you’ll do

You’ll (1) open the portal, (2) make or sign into an account, (3) pick a patient, (4) pick the equipment, (5) attach the doctor’s paperwork, (6) review, and (7) submit. Then you can track the order.

Bring these with you

  • Patient full name, DOB, phone, address
  • Insurance: plan name, member ID (and group if applicable)
  • Diagnosis (ICD-10) related to the equipment (e.g., M17.11)
  • Required docs (PDFs preferred): Rx/prescription, chart notes / face-to-face, PA form if needed

Open the portal

Click Launch H&J Order Portal. Keep this page open in another tab for reference.

Create your account (first time) or Sign in

  • Use your work email. Create a strong password. Save it in your password manager.
  • If two-step verification is available, turn it on.

Add or select a patient

  1. Search by name/DOB. If not found, choose New Patient.
  2. Enter legal name, DOB, phone, address, and insurance member ID (and group if shown).
  3. Save. You’ll return to the order screen automatically or via a Continue button.

Choose the equipment

  1. Pick a category (DME, INCO, PPE, Respiratory).
  2. Select the exact item(s). Adjust size/left-right (LT/RT)/quantity if prompted.
  3. Tip: If you’re not sure which item, note it here and call us—we’ll help you pick.

Enter clinical details

  1. Type the ICD-10 code(s). Add brief medical necessity notes if requested.
  2. Set duration (e.g., 3 months) and any modifiers (e.g., LT, RT) when applicable.

Attach required documents (PDF preferred)

  • Upload Rx/prescription, chart notes/face-to-face, PA forms if needed.
  • Keep files under the size limit (export or compress if too large).

Delivery & contact

  • Delivery vs. pickup, full address, preferred day/time window, special instructions.
  • Optional caregiver contact (name/phone) if someone else will receive goods.

Insurance & eligibility

  • Confirm plan and member ID. If the portal prompts for PA/eligibility, follow the on-screen steps.

Review → Submit → Confirmation

  1. On the summary screen, confirm: patient, items, quantities, DX codes, docs, delivery, contacts.
  2. Fix any red warnings, then click Submit Order.
  3. Note the confirmation screen/email (if enabled).

Track & update later

  • Go to My Orders to see status (Received → In Review → PA Needed → Scheduled → Shipped/Delivered).
  • If we request an extra document, upload it right in the order.

Troubleshooting (common fixes)

  • Can’t sign in: Use Forgot password. If email not recognized, create an account.
  • Upload fails/too large: Export as PDF and compress; re-upload under the limit.
  • Validation errors: Scroll for any fields with red outlines or messages; correct and re-submit.

Quick Order — 2-Minute Flow (reorders/simple)

When to use Quick Order

  • Reordering items the patient already gets (no change in payer requirements).
  • Only 1–2 common items with standard options.

Quick steps

  1. Open & sign in: H&J Order Portal.
  2. Select patient: Use recent patients or search.
  3. Reorder or choose shortcut: Click Reorder from a previous order OR pick from favorites/shortcuts.
  4. Confirm clinical info: ICD-10, duration, LT/RT, quantity are still correct; update if needed.
  5. Docs: If allowed by payer and still current, reference prior docs; otherwise attach updated Rx/note.
  6. Delivery/contact: Defaults to last used; change if necessary.
  7. Review → Submit: Confirm and submit; jump to My Orders to track.

Speed tips

  • Favorites: Star your go-to items so they appear first.
  • Reorder as template: Start with last order; tweak quantity/date only.
Documentation Checklist — Don’t Get Stuck

Always verify

  • Diagnosis (ICD-10) supports the item ordered.
  • Rx is signed/dated and includes item, quantity, frequency, duration.
  • Chart notes / face-to-face back up medical necessity (within payer timeframe).
  • PA initiated when payer requires it (follow portal prompts).

If the portal highlights an error

  • Click the highlighted field, read the inline message, and correct the entry.
  • Re-attach any unreadable/incorrect documents (PDF is best).
📦 Track an Order / Make Changes

Where to look

  • Open My Orders to see current status and notes.
  • If we request a document, upload it in the same order.

Modify or reorder

  • View → Edit to adjust a pending order (e.g., address, quantity).
  • Reorder to repeat a successful order with minimal changes.
